Trip Expense Tracking
Manage shared expenses and settle up fairly at the end of your golf trip. No more spreadsheets or awkward money conversations.
How Expense Tracking Works
- Trip Captain sets up the trip and invites participants
- Anyone can add shared expenses as they occur
- System calculates who owes what in real-time
- End of trip generates optimal settlement plan
- Participants settle up with minimal transactions
Adding Shared Expenses
Quick Add Expense
- Navigate to your trip dashboard
- Click Expenses in the sidebar
- Click Add Expense
- Fill in the expense details
Expense Details
| Field | Description |
|---|---|
| Description | What you paid for (e.g., “Thursday dinner at Pebble Beach”) |
| Amount | Total amount paid |
| Paid By | Person who covered the bill |
| Category | Expense type for organization |
| Date | When the expense occurred |
| Notes | Additional details (receipt number, special circumstances) |
Expense Categories
Organize expenses with built-in categories:
| Category | Examples |
|---|---|
| Lodging | Hotel rooms, rental house, Airbnb |
| Golf | Greens fees, cart fees, range balls, caddies |
| Food | Meals, groceries, snacks, drinks |
| Transportation | Rental car, gas, airport shuttle, rideshare |
| Entertainment | Bars, activities, excursions |
Splitting Expenses
Split Evenly
By default, expenses split equally among all trip participants. This works for most shared costs like:
- Rental house for the group
- Group dinner tabs
- Golf cart rentals
Custom Split
For expenses that don’t apply to everyone:
- Toggle Custom Split when adding the expense
- Select which participants to include
- Enter custom amounts per person (optional)
Common custom split scenarios:
- Only golfers share greens fees (non-golfers excluded)
- Some people shared a hotel room
- Individual items on a group bill
- Someone who arrived late and missed earlier expenses
Viewing Balances
Balance Summary
The balance summary shows the financial status of each participant:
| Status | Meaning |
|---|---|
| Owed Money (green) | This person paid more than their share |
| Owes Money (red) | This person needs to pay others |
| Even (gray) | This person is settled up |
Reading Your Balance
Navigate to Expenses > Balances to see:
- Your Net Balance: Overall how much you owe or are owed
- Individual Balances: What you owe to or are owed by each person
- Total Trip Cost: Sum of all expenses
- Per Person Average: Typical share amount
Balance Example
For a trip with $3,000 in total expenses split among 4 people:
| Participant | Total Paid | Fair Share | Net Balance |
|---|---|---|---|
| Mike | $1,500 | $750 | +$750 (owed) |
| Dave | $800 | $750 | +$50 (owed) |
| Steve | $500 | $750 | -$250 (owes) |
| Tom | $200 | $750 | -$550 (owes) |
Generating Settlements
Why Use Smart Settlements?
Instead of everyone paying everyone else individually, the settlement optimizer calculates the minimum number of payments needed.
Without optimization:
- Steve pays Mike $150
- Steve pays Dave $100
- Tom pays Mike $400
- Tom pays Dave $100
- Tom pays Steve $50
- (5+ transactions)
With optimization:
- Steve pays Mike $250
- Tom pays Mike $500
- Tom pays Dave $50
- (3 transactions)
Generate Settlement Plan
Only an organizer can generate a plan. From the trip’s Expenses page, open Settle Up:
- Pick a Settlement View to preview: Minimum Transactions or Organizer Routed
- Click Sync To Settlements (or Sync Organizer Plan) to persist it
- Players see the plan in the portal under Expenses → Settlements
The plan is always built from the unified view — shared expenses plus tournament payouts and buy-ins, skins and Nassau — and it accounts for payments already marked paid, so regenerating after a few people have paid does not double-charge anyone.
Unified Payout Calculator (Recommended)
The Unified Payout Calculator in the Settle Up area shows one net position per player combining:
- Shared expenses
- Tournament payouts and buy-ins, and trip-pot buy-ins
- Skins and Nassau
Wagers are listed on the page but do not move a balance. The calculator shows the minimum number of payments needed; Sync To Settlements persists those transactions into the settlement list for tracking.
Use Settlement View in the dashboard to switch between:
- Persisted Plan: current tracked settlements with payment status.
- Minimum Transactions: preview of the mathematically smallest payment count.
- Organizer Routed: preview where everyone pays/gets paid through one organizer.
Organizer Settlement Mode (Optional)
If your group prefers one person to collect and distribute money, use Organizer Settlement Mode:
- Choose an organizer player.
- Preview how many payments are needed when everyone routes through that organizer.
- Compare this with minimum-transaction mode and pick whichever is easiest for your group.
- Use Sync Organizer Plan if you want to persist that organizer-routed plan into Settlements.
Settlement Details
Each settlement shows:
- From: Person who needs to pay
- To: Person who receives payment
- Amount: Exact payment amount
- Status: Pending, Completed, or Disputed
Marking Settlements Complete
When a payment is made, the payer, the payee or an organizer can mark it:
- Find the settlement in the list
- Click Confirm Payment and pick the method (Venmo, PayPal, Zelle, cash, other)
- Settlement moves to Completed
Best practices:
- Mark settlements complete as soon as payment is sent
- Use consistent payment methods for easy tracking
- Keep receipts or screenshots for larger amounts
Games Tab: Money in Play
The Games tab of the trip accountant opens with a Money in Play card that lists every pot on the trip in one place, whether or not it has been paid out yet:
- Buy-in pot — the per-player tournament buy-in, how much of it is allocated to tournaments, and any unallocated remainder
- Tournaments — each tournament’s purse (fixed, entry fees × roster, or its share of the buy-in pot), how many places pay, and whether payouts are Calculated, Awaiting scores, or have No payouts set
- Skins and Nassau — each game with its round and stake
- Wagers — open and settled wagers with their pot
The header totals count buy-in-pot money once (tournaments funded from the pot are not added again). Below the card, the buy-in pot allocations and any calculated results are shown in detail.
Tracking Wagers & Side Bets
What Are Wagers?
A wager is a note of an informal bet — “closest to the pin on 7”, “first to three-putt” — with a pot and, later, a winner. Skins and Nassau are not wagers: create them as side games from the portal and they settle automatically.
Adding a Wager
- Navigate to Expenses > Wagers
- Click Add Wager
- Enter the wager details
| Field | Description |
|---|---|
| Description | What the bet is about (e.g., “Closest to the pin, hole 7”) |
| Pot Amount | What the winner collects |
Settling Wagers
When a wager has a winner:
- Find the wager in the list
- Click Settle Wager
- Select the winner
- Confirm the settlement
Important: wagers are not included in settlement plans. A wager records a winner and a pot but not who paid in, so there is no way to net it to zero. Settle wagers in cash between yourselves; the list is there so nobody forgets.
End-of-Trip Settlement Workflow
Before Leaving
Follow this checklist to settle up before everyone heads home:
Step 1: Verify All Expenses
- Review the expense list
- Confirm all shared costs are recorded
- Check that paid-by assignments are correct
- Verify custom splits where applicable
Step 2: Settle Outstanding Wagers
- Review the wager list
- Record the winner of each bet
- Pay wagers in cash — they are not part of the settlement plan
Step 3: Generate Final Settlements (organizer)
- Open Settle Up, preview, and click Sync To Settlements
- Players see their payments in the portal under My Payments
Step 4: Complete Payments
- Make payments per the settlement plan
- Mark each payment as complete when done
- Keep records of payment confirmations
Remote Settlement
If your group settles up after the trip:
- Share the trip link with participants
- Everyone can review expenses remotely
- Generate settlement plan when ready
- Use Venmo, Zelle, or other payment apps
- Mark settlements complete as payments are received

Deleting an Expense
To remove an expense:
- Find the expense in the list
- Click the Delete icon
- Confirm deletion
Caution: Deleting expenses affects balance calculations. Only delete entries made in error.
Expense History
View the complete expense timeline:
- All expenses in chronological order
- Filter by category or participant
- Export for your records
Best Practices
During the Trip
- Add expenses immediately: Don’t wait until the end to enter costs
- Take photos of receipts: Useful for disputes or tax purposes
- Use consistent descriptions: Makes reviewing easier
- Communicate with your group: Share large expenses before adding
For Trip Captains
- Set expectations early: Explain how expense tracking works
- Encourage participation: Anyone should feel comfortable adding expenses
- Review regularly: Check entries daily to catch errors early
- Generate preview settlements: Show the group mid-trip balances
Settling Up
- Verify before generating: Ensure all expenses are recorded and every round’s cards are signed
- Use digital payments: Easier to track than cash
- Mark complete promptly: Keeps the status accurate
- Keep the trip open: In case you need to add forgotten expenses
Troubleshooting
Balance Doesn’t Look Right
Check:
- All expenses have the correct “Paid By” assignment
- Custom splits are configured correctly
- No duplicate expense entries
- All participants are included in the trip
”Could not recalculate tournament payouts”
Recalculate Tournament Payouts on the Expenses tab reads each tournament’s live leaderboard, so it only works once scores exist. Before any scorecards are entered every tournament fails with “No leaderboard entries found” — the toast names each tournament and the reason. Enter scores (or wait for the rounds to be played), then recalculate. A tournament also needs a payout structure that totals 100%.
Settlement Not Generating
Check:
- You are a trip organizer — only organizers can generate a plan
- At least one person has a positive balance and one a negative balance
- Trip has more than one participant
Expense Won’t Save
Check:
- Amount is a valid number
- Description is not empty
- A payer is selected
- You have permission to add expenses
Someone Left Early
If a participant leaves mid-trip:
- Continue adding expenses normally
- Use custom splits to exclude them from later costs
- Generate their settlement before departure
- Complete their payments separately
