Frequently Asked Questions
Common questions about using Golf Management for trips.
Account & Getting Started
How do I create an account?
Visit the Golf Management website and click Sign Up. Enter your email and create a password. You’ll receive a verification email to confirm your account.
Is there a free tier?
Yes! Golf Management offers a free tier for small events and trips. Larger events may require a paid plan.
Can I switch between Tournament and Trip modes?
Yes, your account can manage both tournament-style events and buddy trips. Create whichever type you need from your dashboard.
Scoring
Do players need to download an app?
No. Scoring is done through the web browser on any smartphone. No app download required.
What happens if a player loses internet connection?
Scores are saved locally on the device and will automatically sync when the connection is restored.
Can scores be edited after submission?
Yes, trip administrators can edit any score through the admin dashboard. All changes are logged in the audit trail.
GPS Rangefinder
Does the portal show yardages?
Not yet. The trip scoring portal has no GPS or yardage display, and courses have no coordinate data to draw from. Use your own rangefinder or GPS app; the portal never asks for location permission. See GPS Rangefinder.
Teams & Competitions
Can I run multiple competitions in one trip?
Absolutely! You can have an individual stroke play competition alongside team competitions, skins games, and more.
How are handicaps applied?
Handicaps can be entered manually or imported. The system applies handicap strokes according to the competition format you’ve selected.
Contests & Side Games
What types of contests can I create?
You can create five types of contests:
- Hole-in-One: Big prize contests for acing a par 3
- Closest to Pin (CTP): Nearest tee shot to the hole on par 3s
- Longest Drive: Longest drive in the fairway
- Straightest Drive: Drive closest to the center line
- Putting Contest: Practice green putting competition
How do contest entries get recorded?
Contest entries can be submitted by:
- Trip organizers from the dashboard
- Playing group scorers (if enabled in settings)
All entries can be verified to ensure accuracy.
Can I have multiple contests on the same hole?
Yes. You can assign multiple contests to a single hole. For example, you might have both a Closest to Pin contest and a Hole-in-One pot on the same par 3.
How do I determine contest winners?
Contest leaderboards automatically rank entries by performance (closest distance for CTP, longest distance for Longest Drive, etc.). Verified entries appear at the top. You can view the final standings at any time from the contest dashboard.
How do players see contest results?
Contest leaderboards are available in real-time through shareable links, viewable on any player’s mobile device.
What if there’s a tie in a contest?
For ties, the system records the entry time so you can use “first to achieve” as a tiebreaker. Alternatively, administrators can arrange a chip-off or use other tiebreaker methods and manually adjust results.
Photo Sharing
How do I upload photos?
Open your trip page, tap the Photos tab, then tap Upload Photo. Select a photo from your camera roll or take a new one. Add an optional caption and tap Upload.
What photo formats are supported?
You can upload JPEG, PNG, and WebP images. JPEG is recommended for most photos as it provides the best balance of quality and file size.
What’s the maximum file size?
Each photo can be up to 10MB. Most smartphone photos are between 2-4MB, so you should rarely hit this limit. If your photo is too large, try sharing at a smaller size or cropping before uploading.
Can I edit my photos after uploading?
You cannot edit the image itself, but you can edit the caption at any time. Tap on your photo, then tap Edit Caption to update it.
How do I delete a photo I uploaded?
Open the photo you want to delete and tap the Delete button (trash icon). Confirm the deletion. Note that deleted photos cannot be recovered.
Can I delete someone else’s photo?
Only trip administrators can delete photos uploaded by others. If you see inappropriate content, contact your trip organizer.
Who can see the photos?
Photos are visible to all participants in your trip. Only authenticated members of the trip can view and upload photos.
Do photos count against storage limits?
Photos are stored securely in the cloud with no impact on your device storage. There are no per-trip photo limits.
Can I download photos from the gallery?
Yes, tap on any photo to view it full-size, then use your browser’s save or share option to download it to your device.
Why can’t I upload photos?
Common issues include:
- File too large (over 10MB)
- Unsupported format (try JPEG instead)
- Lost internet connection
- Not logged into your account
Try refreshing the page and ensuring you have a stable connection.
Notifications
What notifications will I get?
Only what your organizer sends: announcements (in-app, push and/or email), invitation emails, and daily recap or trip reminder emails. Nothing is sent automatically for scores, leaderboard changes, expenses or settlements.
How do I get push notifications?
Open the trip portal, go to Settings → Notifications and turn on Push Notifications on each device you want alerts on. On iPhone, add the portal to your Home Screen first.
Can I set quiet hours or a daily digest?
Not yet. There are no per-type preferences, quiet hours or digests.
Will I get a tee time reminder?
Not automatically. Your tee time, group and partners are on the portal home screen (My Round), and organizers send an announcement for changes.
Trip Expenses
How does expense tracking work?
Anyone on the trip can add shared expenses as they occur. The system automatically calculates who owes what based on who paid and how expenses are split. At the end of the trip, an organizer generates a settlement plan that shows exactly who pays whom to settle up.
Can I split expenses unevenly?
Yes. When adding an expense, you can use custom splits to:
- Exclude certain participants (e.g., non-golfers from greens fees)
- Assign specific amounts to each person
- Split among only a subset of the group
How does the settlement algorithm work?
The system calculates each person’s net balance (total paid minus fair share), then generates the minimum number of payments to settle everyone up. Instead of everyone paying everyone else individually, you get simple instructions like “Tom pays Mike $340.”
Are wagers included in settlements?
No. A wager records a winner and a pot but not who paid in, so it cannot be netted to zero. Wagers are shown on the Expenses page for the record; settle them in cash. Skins and Nassau side games, tournament payouts and buy-ins are included.
Can I edit or delete expenses after adding them?
Yes, you can edit or delete expenses you’ve added. Trip organizers can edit or delete any expense. Note that changes automatically recalculate all balances.
What if someone leaves the trip early?
Use custom splits to exclude them from expenses that occurred after they left. You can generate and complete their settlement separately while continuing to track expenses for the remaining participants.
How do I mark settlements as complete?
Find the settlement in the dashboard’s Settle Up list and click Confirm Payment, picking the method (Venmo, PayPal, Zelle, cash, other). The payer, the payee or a trip organizer can mark a settlement paid.
Can I export expense data?
Yes, you can view the complete expense history from the dashboard. This includes all expenses in chronological order with the ability to filter by category or participant.
