Portal Admin Guide

Organizer tasks for the trip portal: player links, scoring permissions, locked cards, side games and settlements.

Portal links let players use the scoring portal without an account. Manage them from the trip’s Player Portal page in the dashboard (Players can also open the portal access dialog from the trip overview).

  1. Open the trip and go to Player Portal
  2. Choose the link expiration — 3, 7, 14 or 30 days (7 is the default)
  3. Click Generate Links for everyone, or the regenerate icon next to one player
  4. Copy each link, or show its QR code for players to scan

Links are personal: each one identifies a player. Send them by text, WhatsApp or email. The invitation email sent from Players carries an RSVP link, not a portal link — players who accept it get an account and do not need a portal link.

  • Default 7 days, maximum 30. The link is exchanged for a session on the player’s device the first time it is opened; after that they can close the browser and return without it.
  • Not single-use. The same link works on a second device while it is valid.
  • Regenerating a player’s link replaces the old one.
  • Revoke a link from Player Portal (for example if it was forwarded to the wrong person). It stops working immediately, including on devices that already opened it.

There is no “never expires” option. Players who need long-term access should accept an email invitation and sign in with an account.

Scoring permissions

  • One phone scores the whole group. By default a scorer can only enter scores for players in their own group.
  • To let anyone score any card in a round, set the round setting allow_cross_group_scoring to true. This is set through the API for now — there is no dashboard toggle yet.
  • Trip admins can score any card regardless.

Signed and locked cards

When a group taps Sign cards at the last hole, every card in the group is locked and the portal refuses further edits. To correct a signed card, an organizer unlocks it (the unlock endpoint is organizer-only and, for now, available through the API rather than a dashboard button), then the group fixes the score and signs again.

Handicap changes

Players can update their own index from the portal’s My Handicap setting. To freeze indexes for the trip, set the trip’s handicap lock (handicap_locked_at); after that the portal refuses player changes and only organizers can edit an index. Every index change is recorded in the handicap history.

Side games

Skins and Nassau games are created from the portal (Rounds → Games) by any player on the trip, including you.

Manual presses by participants are supported by the API; there is no press button in the portal yet.

There are no payout structures beyond these (no double back nine, no percentage pots).

Settlements

Settlements are generated by an organizer from the dashboard’s Expenses → Settle Up section:

  1. Use Settlement View to preview: Minimum Transactions shows the fewest payments; Organizer Routed shows everyone paying through one organizer
  2. Click Sync To Settlements (or Sync Organizer Plan) to write the plan to the Persisted Plan. The plan is built from the unified view — expenses plus game money — and is adjusted for any payments already recorded
  3. Players see the plan under Expenses → Settlements in the portal

The plan combines shared expenses with tournament payouts and buy-ins, skins and Nassau. Wagers are not included — they record a winner and a pot but not who paid in.

Marking a payment

The payer, the payee, or an organizer can mark a settlement paid (Confirm Payment, with a payment method such as Venmo, PayPal, Zelle or cash). Regenerating the plan takes recorded payments into account.

Before, during, after

  • Before: generate links two days out, ask players to open them, check every index, create skins/Nassau
  • During: check the round’s scorecards in the dashboard, unlock cards when a group needs a correction, send announcements for schedule changes
  • After: generate the settlement plan once all expenses are in, then revoke or let links expire

Troubleshooting

A player can’t get in — check the link has not expired or been revoked; regenerate it. If they used an invitation, make sure they signed in with the invited email address.

Scores aren’t showing — has the scorer saved the hole? Is the phone still showing a pending count? If the card is locked, the save is refused until you unlock it.

Side game totals look wrong — check gross vs net, make sure every player in the field has scored the hole (undecided holes do not pay out), and check the players’ strokes for the round.
