Frequently Asked Questions
Common questions about using Golf Management.
Account & Getting Started
How do I create an account?
Visit the Golf Management website and click Sign Up. Enter your email and create a password. You’ll receive a verification email to confirm your account.
Is there a free tier?
Yes! Golf Management offers a free tier for small events and trips. Larger events may require a paid plan.
Can I switch between Tournament and Trip modes?
Yes, your account can manage both tournament-style events and buddy trips. Create whichever type of event you need from your dashboard.
Events & Registration
How many players can register for an event?
There’s no hard limit on player count. Our platform is designed to handle events from small groups to 200+ player tournaments.
Can players register themselves?
Yes! Share your event registration link and players can sign up directly. You can also manually add players as an administrator.
How do I close registration?
Go to your event settings and either set a registration deadline or manually close registration at any time.
Scoring
Do players need to download an app?
No. Scoring is done through the web browser on any smartphone. No app download required.
What happens if a player loses internet connection?
Scores are saved locally on the device and will automatically sync when the connection is restored.
Can scores be edited after submission?
Yes, event administrators can edit any score through the admin dashboard. All changes are logged in the audit trail.
GPS Rangefinder
Is GPS included for free?
Yes! GPS yardage is included at no additional cost. No separate subscription or paid app needed.
Does GPS work on my phone?
GPS works on any modern smartphone with location services. iPhone (Safari) and Android (Chrome) provide the best experience.
How accurate is the GPS?
GPS accuracy is typically 5-10 yards, similar to dedicated GPS devices and golf apps. Accuracy may vary based on conditions and signal strength.
Does GPS drain my battery?
GPS uses approximately 10-15% of your battery over 18 holes. This is comparable to other GPS golf apps and navigation apps.
Why does it ask for my location?
Your browser requires permission to access GPS for security and privacy. Your location is only used for calculating distances and is never stored or tracked.
What if GPS shows the wrong distance?
First, ensure you’ve selected the correct hole. If distances are consistently off, the course’s GPS coordinates may need calibration. Contact your tournament organizer.
Will GPS work if I don’t have cell service?
Yes. GPS works independently of cell service as long as the course data has been loaded. However, you’ll need internet to initially load the scoring page.
Teams & Competitions
Can I run multiple competitions in one event?
Absolutely! You can have an individual stroke play competition alongside team competitions, skins games, and more.
How are handicaps applied?
Handicaps can be entered manually or imported. The system applies handicap strokes according to the competition format you’ve selected.
Contests & Side Games
What types of contests can I create?
You can create five types of contests:
- Hole-in-One: Big prize contests for acing a par 3
- Closest to Pin (CTP): Nearest tee shot to the hole on par 3s
- Longest Drive: Longest drive in the fairway
- Straightest Drive: Drive closest to the center line
- Putting Contest: Practice green putting competition
Do I need insurance for Hole-in-One contests?
If you’re offering a significant prize (car, large cash amount, etc.), hole-in-one insurance is strongly recommended. The platform supports tracking your insurance provider, policy number, and coverage amount. Contact a golf event insurance provider for coverage options.
How do contest entries get recorded?
Contest entries can be submitted by:
- Volunteers stationed at contest holes
- Event administrators from the dashboard
- Playing group scorers (if enabled in settings)
All entries can be verified by staff to ensure accuracy.
Can I have multiple contests on the same hole?
Yes. You can assign multiple contests to a single hole. For example, you might have both a main Closest to Pin contest and a sponsored CTP contest on the same par 3.
How do I determine contest winners?
Contest leaderboards automatically rank entries by performance (closest distance for CTP, longest distance for Longest Drive, etc.). Verified entries appear at the top. You can view the final standings at any time from the contest dashboard.
Can sponsors be associated with contests?
Absolutely. Each contest supports sponsor information including:
- Sponsor name
- Logo upload
- Website URL
This is perfect for selling contest sponsorships at charity events and corporate outings.
How do players see contest results?
Contest leaderboards are available in real-time through shareable links. You can display them on:
- Course monitors/TVs
- Your event website
- Social media channels
- Player mobile devices
What if there’s a tie in a contest?
For ties, the system records the entry time so you can use “first to achieve” as a tiebreaker. Alternatively, administrators can arrange a chip-off or use other tiebreaker methods and manually adjust results.
Photo Sharing
How do I upload photos?
Open your event page, tap the Photos tab, then tap Upload Photo. Select a photo from your camera roll or take a new one. Add an optional caption and tap Upload.
What photo formats are supported?
You can upload JPEG, PNG, and WebP images. JPEG is recommended for most photos as it provides the best balance of quality and file size.
What’s the maximum file size?
Each photo can be up to 5MB. Most smartphone photos are between 2-4MB, so you should rarely hit this limit. If your photo is too large, try sharing at a smaller size or cropping before uploading.
Can I edit my photos after uploading?
You cannot edit the image itself, but you can edit the caption at any time. Tap on your photo, then tap Edit Caption to update it.
How do I delete a photo I uploaded?
Open the photo you want to delete and tap the Delete button (trash icon). Confirm the deletion. Note that deleted photos cannot be recovered.
Can I delete someone else’s photo?
Only event administrators can delete photos uploaded by others. If you see inappropriate content, contact your event organizer.
Who can see the photos?
Photos are visible to all participants in your event. Only authenticated members of the event can view and upload photos.
Do photos count against storage limits?
Photos are stored securely in the cloud with no impact on your device storage. There are no per-event photo limits.
Can I download photos from the gallery?
Yes, tap on any photo to view it full-size, then use your browser’s save or share option to download it to your device.
Why can’t I upload photos?
Common issues include:
- File too large (over 5MB)
- Unsupported format (try JPEG instead)
- Lost internet connection
- Not logged into your event account
Try refreshing the page and ensuring you have a stable connection.
Notifications
How do I enable notifications?
Go to Settings > Notifications from your profile menu. Toggle on the notification types you want to receive and select your preferred delivery channels (in-app, email, or push).
Why am I not receiving push notifications?
Push notifications require browser permission. If you previously denied permission:
- Click the lock icon in your browser’s address bar
- Find Notifications and change from Block to Allow
- Refresh the page
On mobile, ensure you’ve added Golf Management to your home screen for the best push notification experience.
Can I stop notifications during certain hours?
Yes! Use the Quiet Hours feature in your notification settings. Set a start and end time, and notifications will be silenced during that period. Emails are queued and delivered when quiet hours end.
How do I reduce the number of emails I receive?
Switch to Daily Digest or Weekly Digest in your notification settings. Instead of individual emails, you’ll receive one summary email with all your notifications. Critical notifications (like payment confirmations) are still sent immediately.
What’s the difference between in-app, email, and push notifications?
- In-App: Notifications appear in the notification center when you’re using Golf Management. Access them via the bell icon.
- Email: Notifications are sent to your registered email address. Can be instant or consolidated into digests.
- Push: Browser or mobile alerts that appear even when you’re not using Golf Management. Requires permission.
How do I mark all notifications as read?
Open the Notification Center by clicking the bell icon, then click Mark All as Read. You can also click individual notifications to mark them as read one at a time.
Why did I get a notification about being outbid?
If you’ve placed a bid on a silent auction item, you’ll receive an alert whenever someone places a higher bid. This gives you the opportunity to bid again before the auction ends. You can disable outbid alerts in your notification settings if you prefer.
Can I get reminders before my tee time?
Yes! Tee Time Reminders are enabled by default. You’ll receive a notification before your scheduled start time. The reminder timing is typically 30 minutes before your tee time.
How do I know if my score was verified?
When your score is verified by an event administrator or playing partner, you’ll receive a Score Verification notification. Enable this notification type in your settings to stay informed.
Do notifications work on all devices?
Yes. In-app and email notifications work on any device. Push notifications work on:
- Desktop browsers (Chrome, Firefox, Edge, Safari)
- iPhone via Safari (when added to home screen)
- Android via Chrome (when added to home screen or installed as app)
How long are notifications kept?
Notifications are retained for 90 days. After that, they are automatically archived. Your notification preferences are kept indefinitely until you delete your account.
Can I get notifications for specific events only?
Currently, notifications are managed globally across all your events. You can control which types of notifications you receive, but not filter by specific event. This feature may be added in a future update.
Trip Expenses
How does expense tracking work?
Anyone on the trip can add shared expenses as they occur. The system automatically calculates who owes what based on who paid and how expenses are split. At the end of the trip, generate a settlement plan that shows exactly who pays whom to settle up.
Can I split expenses unevenly?
Yes. When adding an expense, you can use custom splits to:
- Exclude certain participants (e.g., non-golfers from greens fees)
- Assign specific amounts to each person
- Split among only a subset of the group
How does the settlement algorithm work?
The system calculates each person’s net balance (total paid minus fair share), then generates the minimum number of payments to settle everyone up. Instead of everyone paying everyone else individually, you get simple instructions like “Tom pays Mike $340.”
Are wagers included in settlements?
Yes. When you settle a wager by selecting a winner, the amount automatically factors into the final settlement calculations. The winner’s balance increases and the loser’s balance decreases accordingly.
Can I edit or delete expenses after adding them?
Yes, you can edit or delete expenses you’ve added. Trip captains can edit or delete any expense. Note that changes automatically recalculate all balances.
What if someone leaves the trip early?
Use custom splits to exclude them from expenses that occurred after they left. You can generate and complete their settlement separately while continuing to track expenses for the remaining participants.
How do I mark settlements as complete?
Find the settlement in the list and click “Mark Complete.” You can optionally add a note about the payment method (Venmo, cash, etc.). Only the parties involved or the trip captain can mark settlements complete.
Can I export expense data?
Yes, you can view the complete expense history from the dashboard. This includes all expenses in chronological order with the ability to filter by category or participant.
Billing & Payments
How do I collect entry fees from players?
Payment collection features are available on paid plans. Players can pay during registration using credit card.
Can I offer refunds?
Yes, administrators can process refunds through the dashboard for any payments collected through the platform.
