Automatically add trip data by forwarding confirmation emails. No more manual data entry.
Overview
Every trip in SyncedGolf comes with a unique email address powered by SyncedCaddie. Forward your airline confirmations, car rental bookings, golf tee time itineraries, and receipts to this address, and SyncedCaddie will automatically parse the email and add the information to your trip.
How It Works
- Find your trip’s email address on the trip overview page (the green SyncedCaddie card with copy button)
- Forward a confirmation email to that address — airline, car rental, tee time, or receipt
- SyncedCaddie parses the email using AI to extract flights, cars, tee times, and expenses
- Data is automatically added to your trip — flights appear in the Travel tab, tee times in Rounds, etc.
Finding Your Trip Email
Your trip’s SyncedCaddie email address is available in two places:
- Trip Overview Page: Look for the green SyncedCaddie card near the top of the page. Click “Copy Email” to copy the address.
- Invitation Email: When you’re invited to a trip, the invitation email includes the SyncedCaddie address and instructions.

Supported Email Types
Airline Confirmations
Forward your flight booking confirmations. SyncedCaddie extracts:
- Airline and flight number
- Departure and arrival airports (IATA codes)
- Departure and arrival times
- Confirmation code
- Traveler names (matched to trip players)
- Direction (arrival vs. departure, based on trip dates)
The “needs ride” flag defaults to enabled so trip organizers can coordinate airport pickups.
Car Rental Confirmations
Forward your rental car booking confirmations. SyncedCaddie extracts:
- Rental company and vehicle type
- Pickup and dropoff locations and times
- Daily rate and total cost
- Confirmation code
- Renter name (matched to trip player)
Golf Tee Times
Forward itineraries from travel agencies or course booking confirmations. SyncedCaddie extracts:
- Course name (automatically searched and imported from our course database)
- Date and tee time
- Player names
- Confirmation code
- Green fees
Receipts & Expenses
Forward receipts to automatically create trip expenses. SyncedCaddie extracts:
- Vendor name and description
- Amount and currency
- Category (food, transportation, golf fees, etc.)
- Who paid
Expenses default to “split equally among all players” — you can adjust the split type afterward.
Tips for Best Results
- Forward the original confirmation email — don’t copy-paste or screenshot it
- HTML emails work best — they contain structured data that’s easier to parse
- One confirmation per email — if you have multiple bookings, forward each separately
- Itineraries with multiple items work too — travel agency emails with flights + tee times are handled
Reviewing Parsed Data
Not every email can be parsed perfectly. When SyncedCaddie needs help:
- Needs Review: The email was parsed but a traveler couldn’t be matched to a trip player. Go to the Travel tab to review and manually apply.
- Failed: The email couldn’t be processed. You can retry from the Travel tab.
- Rejected: The email wasn’t recognized as a confirmation. No action needed.
Managing SyncedCaddie Emails
Trip organizers can manage all SyncedCaddie emails from the Travel tab:
- View processing status for each forwarded email
- Retry failed emails
- Apply emails that need review after verifying the data
- Undo applied emails to remove the created records
FAQ
What happens if SyncedCaddie parses something incorrectly?
You can undo any applied email from the Travel tab. This removes all records that were created from that email.
Can multiple people forward the same confirmation?
Yes, SyncedCaddie detects duplicate emails by message ID and won’t process the same email twice.
Does SyncedCaddie work with all airlines/rental companies?
SyncedCaddie uses AI to parse emails, so it works with most confirmation email formats. If a specific format isn’t recognized, forward it and let us know so we can improve parsing.
Is my email data secure?
Email content is processed by AI for data extraction only. Raw email content is stored securely for debugging and reprocessing, and is only accessible to trip members.
Can I customize the SyncedCaddie welcome message in invitation emails?
Yes, trip organizers can set a custom welcome message that appears in the SyncedCaddie section of invitation emails.
